ScreenDesk turns a gym's TV into a class screen run from the coach's phone. It has no ads, no third-party analytics and no tracking cookies. This page lists everything it stores, why, and for how long.
What is stored
| Data | Why | Kept |
|---|---|---|
| The coach's email, gym name and password (as a bcrypt hash, never in plain text) | To sign in to the coach app or web console | While the gym's account exists |
| What the gym puts on its screens: schedule, promos, QR links, workouts, today's results (athletes' names and scores as written on the board) | To show them on the gym's TVs | Until the coach removes them |
| Whiteboard photos sent to "Whiteboard → workout" | Linked from the workout slide, through an address nobody can guess | While the gym's account exists |
| Photos of the scores board ("Today's results") | Read once to build the leaderboard | Not stored |
| Results history: each athlete's name, division and place on the leaderboards the gym showed | To build "This week's board" (who scored the most workouts in the last 7 days) | 35 days, then deleted automatically |
| Song requests: the song and, if the member types it, a first name | To show the coach's queue and, once the coach puts it on, "now playing" on the TVs | 7 days, then deleted automatically |
| Free-class sign-ups ("Try a free class" QR): a first name, a phone or email and the phone's language, with the person's consent | So the coach can contact them to book the class | 90 days, then deleted automatically |
| Each paired TV's name and a device key | So the TV can show the gym's screens | Until the coach removes the screen |
| Server logs (errors, and for each AI call: model, time taken, token counts) | To keep the service running | 14 days |
A phone's IP address is used, in memory only, to limit how many songs it can ask for in a few minutes; it is not written anywhere.
AI
Photos and text the coach sends to the AI features (whiteboard and scores-board photos, a promo idea, the copilot's plan for the day) are processed by Amazon Nova on Amazon Bedrock, and the copilot runs on Amazon Bedrock AgentCore, in AWS's US East (N. Virginia) region. Amazon Bedrock does not use them to train models. Nothing an AI drafts reaches a screen until the coach reviews it.
On the devices
- The TV app keeps its device key and the last screens it received, so it keeps working when the WiFi drops. It has no camera or microphone access; "Alexa" voice commands are handled by Fire TV and reach the app only as play, pause and next.
- The coach app keeps the coach's session on the phone. Dictation uses the phone's own speech recognition.
- The web console keeps the session in the browser tab only (it ends when the tab closes). The song request page keeps nothing.
Where it lives
On Amazon Web Services in the US East (N. Virginia) region: an encrypted PostgreSQL database and a private storage bucket, served over HTTPS.
Your choices
A coach can remove slides and screens at any time from the app or the console, and song requests delete themselves after 7 days. To delete a gym and everything stored for it, or to ask what is stored about you, contact the developer through the support contact on ScreenDesk's Amazon Appstore page.
Children
ScreenDesk is a tool for gym staff and is not directed at children.
